Our Code of Conduct

Confidentiality. We are committed to maintaining the highest degree of integrity in all our dealings with potential, current and past clients, both in terms of normal commercial confidentiality, and the protection of all personal information received in the course of providing the business services concerned. We extend the same standards to all our customers, suppliers and associates and expect those standards to be reciprocated.

Ethics. We conduct our own services honestly and honourably and we expect our clients and suppliers to do the same. Our advice, strategic assistance and the methods imparted through our training, take proper account of ethical considerations, together with the protection and enhancement of the moral position of our clients and suppliers.

Duty of care. Our actions and advice will always conform to relevant law, and we believe that all businesses and organisations should avoid causing any adverse effect on the human rights of people in the organisations we deal with, the local and wider environments, and the well-being of society at large.

Conflict of interest. Should we believe there to be a conflict of interest during the course of any contract (whether with a client, supplier or associate), we will raise these concerns with all relevant parties in order to reach a solution.

Contracts. Our contract will usually be in the form of a detailed proposal, including aims, activities, costs, timescales and deliverables. The quality of our service and the value of our support provide the only true basis for continuity. We always try to meet our clients’ contractual requirements, and particularly for situations where an external funding provider requires more official parameters and controls.

Payment. We aim to be as flexible as possible in the way that our services our charged. Some clients prefer fixed project fees; others are happier with retainers, and we try to fit in with what will be best for the client. We make no attempt to charge interest on late payments, so we expect payments to be made when agreed. Our terms are generally net monthly in arrears.

Intellectual property and moral rights. We retain the moral rights in, and ownership of, all intellectual property that we create unless agreed otherwise in advance with our clients. In return, we respect the moral and intellectual copyright vested in our clients’ intellectual property.

Quality assurance. We maintain the quality of what we do through constant ongoing review with our clients, of all aims, activities, outcomes and the cost-effectiveness of every activity. We encourage regular review meetings and provide regular progress reports. We are accredited under ISO9001:2015 and ISO14001:2015. Copies of our ISO certificates and details of our corporate memberships, awards and other accreditation are available on our website.

Professional conduct. We conduct all of our activities professionally and with integrity. We take great care to be completely objective in our judgement and any recommendations that we give, so that issues are never influenced by anything other than the best and proper interests of our clients.

Equality and discrimination. We always strive to be fair and objective in our advice and actions, and we are never influenced in our decisions, actions or recommendations by any issues including (but not limited to) gender, race, creed, colour, sexuality, age or personal disability.

Engineering Services Consultancy Limited (the ‘Organisation’) aims to provide defect free products and services to its clients on time and within budget. The Organisation operates a Quality Management System that has gained BS EN ISO 9001: 2015 certification, including aspects specific to the provision of building services engineering consultancy.

The management is committed to:

  • Develop and improve the Quality Management System
  • Continually improve the effectiveness of the Quality Management System
  • The enhancement of client satisfaction.

The management has a continuing commitment to:

  • Ensure that client needs and expectations are determined and fulfilled with the aim of achieving client satisfaction
  • Communicate throughout the Organisation the importance of meeting client needs and all relevant statutory and regulatory requirements
  • Establish the Quality Policy and to set Quality Objectives at relevant functions, levels and processes
  • Ensure that the Management Reviews set and review the Quality Objectives, and report on the internal audit results as a means of monitoring and measuring the processes and the effectiveness of the Quality Management System
  • Ensure the availability of resources.

The structure of the Quality Management System is defined in our Quality Manual.

All personnel understand the requirements of this Quality Policy and abide with the contents of the Quality Manual.  The Organisation complies with all relevant statutory and regulatory requirements.  The Organisation constantly monitors its quality performance and implements improvements when appropriate.

This Quality Policy is regularly reviewed in order to ensure its continuing suitability.

Copies of the Quality Policy are made available to all members of staff and to relevant interested parties.  Copies of the minutes of Management Reviews, or extracts thereof, are provided to individual members of staff in accordance with their role and responsibilities as a means of communicating the effectiveness of the Quality Management System.

Engineering Services Consultancy Limited (the ‘Organisation’) recognises the importance of environmental protection and is committed to operating its business responsibly and in fulfilment of its compliance obligations relating to the provision of building services engineering consultancy.  It is the Organisation’s declared policy to operate with and to maintain good relations with all regulatory bodies. It is the Organisation’s objective to carry out all measures reasonably practicable to meet, exceed or develop all necessary or desirable requirements, to protect the environment and to continually improve the Environmental Management System to enhance environmental performance through the implementation of the following:

  • Assess and regularly re-assess the environmental effects of the Organisation’s activities
  • Training of employees in environmental issues
  • Minimise the production of waste
  • Minimise material wastage
  • Minimise energy wastage
  • Promote the use of recyclable and renewable materials
  • Prevent pollution in all its forms
  • Control noise emissions from operations
  • Minimise the risk to the general public and employees from operations and activities undertaken by the Organisation.

Top management demonstrates leadership and commitment with respect to the Environmental Management System by:

  • Taking accountability for the effectiveness of the Environmental Management System
  • Ensuring that the Environmental Policy and Environmental Objectives are established and are compatible with the strategic direction and the context of the Organisation
  • Ensuring the integration of the Environmental Management System requirements into the Organisation’s business processes
  • Ensuring that the resources needed for the Environmental Management System are available
  • Communicating the importance of effective environmental management and of conforming to the environmental management system requirements
  • Ensuring that the Environmental Management System achieves its intended outcomes
  • Directing and supporting persons to contribute to the effectiveness of the environmental management system

  • Supporting other relevant management roles to demonstrate their leadership as it applies to their areas of responsibility.

This Policy is hereby communicated to all employees, suppliers and sub-contractors and any other interested parties.

ESC takes the privacy of everyone we interact with seriously. We are committed to protecting our clients, suppliers and team members by maintaining best practice data protection processes in line with all UK and EU law including GDPR. In brief, our policy commitment is…

  • When store your information, we store it securely
  • We have never shared, nor ever will share, your details with a third party

Our website cookie policy can be found at www.escuk.com/cookie-policy/ and confirmation of the fact we use cookies and a link to the policy are found on our site landing page. We do not harvest information from our website other than anonymous statistics and the details of those who sign up to our newsletter mailing list via the website. We use third-party services, e.g. AWStats and Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow third parties to make, any attempt to find out the identities of those visiting our website.

OUR WIFI: If you are visiting our offices and use our guest WiFi we will manually record your name, company name and the time/date the WiFi passcode was given to you. These records are stored in a secure location on our premises and the record destroyed after 12 months.

OUR NEWSLETTER: Unless we’re communicating with you about a specific project with which we are (or have been) all involved, we will only contact you with information that we believe to be important and useful by way of an occasional newsletter. If at any time you want us to stop sending this information, please either let us know via info@escuk.com or simply unsubscribe via the link at the bottom of the update email.

We use a third party provider, SendInBlue, to deliver our newsletter – their privacy notice can be found via this link. If you sign up to our mailing list, your data (name and email address) will be handled and stored by them. We gather statistics around email opening and clicks using industry standard technologies for the purpose of monitoring and improving the information we send.   • Advocate for faster change in our industry towards regenerative design practices and a higher Governmental funding priority to support this.
  • Establish climate and biodiversity mitigation principles as a key measure of our industry’s success: demonstrated through awards, prizes and listings.
  • Share knowledge and research to that end on an open source basis.
  • Evaluate all new projects against the aspiration to contribute positively to mitigating climate breakdown, and encourage our clients to adopt this approach.
  • Upgrade existing buildings for extended use as a more carbon efficient alternative to demolition and new build whenever there is a viable choice.
  • Include life cycle costing, whole life carbon modelling and post occupancy evaluation as part of the basic scope of work, to reduce both embodied and operational resource use.
  • Adopt more regenerative design principles in practice, with the aim of providing building services engineering design that achieves the standard of net zero carbon.
  • Collaborate with clients, architects, engineers and contractors to further reduce construction waste.
  • Accelerate the shift to low energy and nearly net zero energy in all our work.

In this crucial Decade of Action, we want to ensure that we are a force for good: positively transforming society and the planet by measuring our own impact on the environment. We are now committed to  reducing our carbon emissions, and we want to share this journey with our community to encourage others to take climate action.

Through The Planet Mark we are protecting an acre of endangered rainforest thanks to Cool Earth; a charity working alongside rainforest communities to halt deforestation. Our pledge through Cool Earth goes directly towards supporting the Asháninka community in Central Peru. By partnering with The Planet Mark we’re also helping the Eden Project – an educational charity that connects us with each other and the living world, exploring how we can work together towards a better future.

Modern Slavery Statement: Engineering Services Consultancy Ltd is not legally obliged to make a slavery and human trafficking statement. However, we have produced this document in order to assure all members of our supply chain that we take issues of and around slavery and trafficking seriously and will not condone it within our supply chain.

Therefore, this statement is made pursuant to s.54 of the Modern Slavery Act 2015and sets out the steps that Engineering Services Consultancy Ltd (ESC) has taken and is continuing to take to ensure that modern slavery or human trafficking is not taking place within our business or supply chain.

Modern slavery encompasses slavery, servitude, human trafficking and forced labour. ESC has a zero-tolerance approach to any form of modern slavery. We are committed to acting ethically and with integrity and transparency in all business dealings and to putting effective systems and controls in place to safeguard against any form of modern slavery taking place within the business or our supply chain.

Our Business: Engineering Services Consultancy Ltd is a firm of building services consulting engineers and environmental consultants. From our office in Birmingham city centre we are involved in projects throughout the UK. As consultants, we do not directly employ contractors or contract labour. Therefore, our supply chain consists, in the main, of suppliers of goods (e.g. stationery, printing etc.) and building services (e.g. water, electricity etc.).

Our High-Risk Areas: Use of/employment of suppliers whose practices may not comply with the Modern Slavery Act 2015 (including, but not limited to, their use of staff)

  • Any materials supplied to ESC (e.g. stationery supplies) which may have been produced where the Modern Slavery Act 2015 does not apply or by companies that do not comply with legislation
  • Increase of risk where an employee does not follow our procedures and policies correctly for whatever reason

Our Policies:  We operate a number of internal policies to ensure that we are conducting business in an ethical and transparent manner. These include:

  • Anti-slavery policy.  This policy sets out the organisation’s stance on modern slavery and explains how employees can identify any instances of this and where they can go for help.
  • Recruitment policy. We operate a robust recruitment policy, including conducting eligibility to work in the UK checks for all employees to safeguard against human trafficking or individuals being forced to work against their will.
  • Whistle-blowing policy. We operate a whistle-blowing policy so that all employees know that they can raise concerns about how colleagues are being treated, or practices within our business or supply chain, without fear of reprisals.
  • Code of business conduct. This code explains the manner in which we behave as an organisation and how we expect our employees and suppliers to act. All employees must agree to this as part of their terms and conditions of employment.

Our suppliers:  ESC requires that organisations that provide goods and/or services to them are subject to due diligence where necessary. If appropriate, confirmation will be required via necessary means that the supplier and their supply chain are free from slavery and human trafficking according to the Modern Slavery Act 2015.

ESC will conduct due diligence on suppliers as and when appropriate. This may take the form of internet searches, site visits, requests for information and supplier audits.

Training: We regularly conduct training for all of our employees, part of which covers the indicators of modern slavery and what to do if they suspect that it is taking place within our supply chain. This can take the form of open discussion during team meetings or through review of company policy documents.

Our performance indicators: We will know the effectiveness of the steps that we are taking to ensure that slavery and/or human trafficking is not taking place within our business or supply chain if:

  • No reports are received from employees, the public, or law enforcement agencies to indicate that modern slavery practices have been identified.
  • Staff are trained on the Modern Slavery Act 2015, ESC’s commitment to the legislation and understand how to raise any concerns.

This Modern Slavery Statement was originally approved by the Directors on 12 June 2017 and is reviewed at least annually as part of our ISO9001 processes.
